About the role

Acted is looking for a Logistics Assistant to support day-to-day logistics work from the Nairobi office. This role will mainly support procurement, transport coordination, stock management and general logistics follow-up.

You will work closely with the Logistics Manager and other teams to make sure operations run smoothly and on time.

Key responsibilities

Procurement support

  • Follow up on purchase requests and make sure all documents are in place
  • Support sourcing of suppliers and getting quotations
  • Track orders and follow up with suppliers to ensure timely delivery
  • Prepare basic procurement documents and keep records updated
  • Work with Finance to follow up on supplier payments
  • Help maintain and update the supplier database

Transport and coordination

  • Support planning of staff movements and field visits.
  • Help manage driver schedules and daily transport needs
  • Check that vehicle documents like insurance and logbooks are up to date
  • Monitor fuel usage and basic vehicle follow-up
  • Assist with booking travel and accommodation for staff
  • Support logistics arrangements for meetings, trainings, and workshops

Stock and assets

  • Keep track of stock coming in and going out of the office
  • Maintain simple stock records and support regular stock counts
  • Flag when items need to be restocked
  • Support tracking of office equipment and assets

Filing and reporting

  • Make sure all logistics documents are properly filed (both soft and hard copies)
  • Keep records organized and easy to access
  • Support preparation of weekly and monthly logistics reports
  • Update tracking tools and share with the team when needed

Skills and qualifications

Required Profile

  • A first degree in Logistics, Procurement, or Supply Chain Management
  • 2–5 years of relevant work experience in Logistics, Procurement, or Supply Chain Management. Experience working with an INGO is highly desirable.
  • Experience or knowledge of one or more of the following areas would be an additional asset: agriculture, construction, food supply, inventory and property management, technology, transport, water, sanitation and hygiene services.
  • Highly organized, detail-oriented, and able to prioritize tasks to meet deadlines.
  • Diligent, dedicated, and able to see complex procedures through to completion.
  • Able to communicate complex information clearly, with excellent interpersonal skills.
  • Self-motivated, able to work independently or as part of a team.
  • Fluent written and spoken English.
  • Excellent computer skills including Microsoft Office (particularly Excel, Outlook, and Word).
